Is the 50th Annual ESDR Meeting postponed?

Yes. The 50th Annual ESDR meeting has been postponed.

 

When has the 50th Annual ESDR Meeting been rescheduled to?

The new dates are Wednesday 22 September to Saturday 25 September 2021. The meeting will be held in the same location in Amsterdam, The Netherlands. This meeting will be known as the “50th Annual ESDR Meeting”, ie, the same meeting name as 2020.

 

Will the meeting program change?

No. We are contacting all speakers, sister societies and sponsors and aim to maintain the same program as advertised in 2020.

 

Is my registration confirmation still valid?

Yes. If you have registered for the 50th Annual ESDR Meeting, your registration confirmation is valid the for the rescheduled meeting dates.

 

What if I can’t make the new dates?

We are sorry if you are unable to make the new dates. If you have already registered, please email us at office@esdr.org to request a refund of your registration fees. Refunds will be made via the original payment method. We will process your request as soon as we can. Thank you for your patience, given the circumstances.

Please note that we are unable to process refunds within 90 days of the event.

 

If my circumstances change, will I be able to cancel at a later date?

Yes. We understand that circumstances can change, so you can cancel your place and receive a full refund anytime until 60 days before the event.

 

Can I make a claim for the refund of my travel and accommodation costs?

No. We cannot reimburse travel nor accommodation costs. You should talk to your travel operators about travel reimbursements and contact the agency/hotel used for your booking about reimbursements. As outlined in our booking conditions, we are unable to offer compensation for travel and/or accommodation costs that have already been incurred, or any administration charges relating to cancellation of travel tickets or accommodation.

 

Can I make a claim for the refund of my visa application fee?

No. We cannot reimburse this fee. We can issue official statements for individuals confirming the cancellation of the event, please contact us at office@esdr.org

Can our company get a full refund if they decide not to sponsor the rescheduled meeting?

No. In this case our vendor cancellation policy will apply. Deadline and partial refund policy available on the website.

 

Can my organisation cancel its booking altogether?

Yes. The annual meeting terms and conditions cancellation policy will apply.

Any cancellation by the exhibitor / sponsor must be made in writing to the ESDR via email to office@esdr.org. No cancellation by phone will be accepted.

 

Will you offer virtual options to hold confirmed symposia at the 50th Annual ESDR Meeting?

No. We will not hold virtual meeting sessions in 2020. All symposia and sessions will be moved to the rescheduled meeting in 2021.

 

Will my organisation’s sponsorship / exhibition booking be automatically transferred to the new date?

In line with the booking terms and conditions – where we can provide a new date, your booking will be automatically transferred over in its entirety and shall be binding on all parties.

However, for the 50th Annual ESDR Meeting, refunds will be available to sponsors / exhibitors who are unable to attend the rescheduled meeting date. Refunds will not be processed automatically, and requests should be sent to the ESDR office via email to office@esdr.org

Can my organisation keep the 50th Annual ESDR Meeting selected sponsored items at the rescheduled meeting if my organisation has not yet fully confirmed?

No. In case you have not yet fully confirmed your support (-ie no signed agreement or Order Form duly filled) you must re-apply.  The first-come first-served rule will be applied. Please contact ESDR Corporate Relations Manager, Caroline Blondel Baldassarre, caroline@esdr.org

 

Are there other sponsorship opportunities available at the rescheduled meeting?

Can I upgrade my level of support for the rescheduled meeting in 2021?

Will the costs of sponsor / exhibitor company staff’s pre-arranged travel and accommodation be reimbursed?

No. The ESDR will not reimburse pre-arranged travel and accommodation costs.  In the event of postponement or cancellation of the exhibition for any reason not within the control of the organiser, the organiser shall not be liable to the exhibitor in respect of any actions, claims, costs or expenses including claims for consequential losses.

What if I am unable to make the new date?

We understand the complexities of the current situation and how busy our speakers are. We will facilitate as many needs as possible and will be in be touch with you about how we can manage changes.

 

Can I make a claim for the refund of my travel and accommodation costs?

We would ask that you first contact your travel provider to confirm whether a refund or transfer of ticket is available. If this is not possible, we will reimburse invited speaker travel costs up to the amount stated in our original invitation.

I have already submitted my abstract. Do I need to resubmit this?

Yes. We will inform you of the new abstract submission dates for 2021.

 

Will my abstract still be accepted to present on rescheduled meeting dates?

No. You will need to resubmit your application.

 

Will my abstract still be published in the 2020 JID supplement?

No. This JID issue will not be published this year.
