Registration Guidelines

All participants have to register via the Online Registration Form. Please read the instructions below carefully.

Each participant will receive a Registration number by email after the submission of the Online Registration Form. Please do not send any payment by bank transfer without the Registration number and participant’s name included in payment details.

Onsite registration will be possible in Bordeaux at the rates displayed in the second column (please note that printed materials can be subject to availability and cannot be guaranteed).

* Only those SID, KSID or JSID members holding joint ESDR membership may register for the ESDR meeting at the ESDR member rate. Joint membership is available for EUR 80 per year. Please contact the ESDR office for more information (office@esdr.org)

** Qualifying countries include: Belarus, Bosnia and Herzegovina, Bulgaria, Croatia, Czech Republic, Estonia, Georgia, Hungary, Latvia, Lithuania, Moldova, Poland, Romania, Russia, Serbia and Montenegro, Slovenia, Slovakia, Ukraine.

*** Applicant must include a copy of student ID or letter from head of department confirming student/resident status during registration.

**** Satellite meetings only refer to events organised by sister societies on Wednesday afternoon 18 September 2019, Thursday morning 19 September 2019 and Saturday afternoon 21 September 2019. Admittance to ESDR sessions is not allowed with this rate.

Non-members can join the ESDR by 8 August 2019 and benefit from “ESDR Members” registration rates (rate depends on when you have applied to join – if it is after 11 July you must pay the higher registration rates for members). To benefit from this offer, you must pay one year of ESDR membership dues before registering for the meeting as a member. Please contact the ESDR office for more information (office@esdr.org).
Please make sure to pay your registration fee before the deadline for the selected registration type. If your payment is not received before the deadline, the latter fee will be automatically charged. Unpaid or only partially paid registration will not be considered as valid until it is fully paid.

SOCIAL EVENTS

Social networking event ticket(s) can be purchased during the registration process via the Online Registration Form. The booking of the social event will be confirmed following payment on a “first come, first served” basis and numbers may be restricted.


INSURANCE

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.


CONFIRMATION

Each participant will receive the registration overview and email notification confirming the received payment and eventually stating the amount outstanding after the completion of the Online Registration Form.


PAYMENT

All fees should be paid in EUR (€), free of all bank charges.

The payment by bank transfer is available until 26 August. After this date, all payments can be done only by credit/debit card.

Online Payments Service Providers 

Payments are processed via GP webpay secure connection. GP webpay conforms to international standards and it meets the strictest safety requirements of the MasterCard SecureCode and Verified by VISA standards as defined by the MasterCard and VISA card associations. Payments are processed via Six Payments secure connection. Six Payments conforms to international standards and it meets the strictest safety requirements. 3-D Secure, or 3DS for short, is supported by American Express (SafeKey). Click here to learn more about online payments security.

 


FINAL INVOICE

The final invoice will be provided to the participants only upon request, the Secretariat will not send this document automatically. Please contact us to ask for your receipt.
The final invoice will be issued based on details provided while registering (step Contact/Invoice details). Any change of such details (address, VAT number etc.) is possible only within 3 days from the registering date and is subject to the 20 EUR fee.


CANCELLATION / REFUND POLICY

CANCELLATION OF REGISTRATION

•    Before 1 June 2019 – 50 EUR administrative fee will be deducted from all refunds.
•    From 2 June 2019 until 1 August 2019 150 EUR administrative fee will be deducted from all refunds.
•    After 2 August 2019 no refund can be processed.

CANCELLATION OF OTHER BOOKABLE ITEMS

•    Until 1 August 2019 – 20 EUR – administrative fees will be deducted from all refunds.
•    After 1 August 2019 – no refund can be processed.

CANCELLATION OF ACCOMMODATION

Detailed Accommodation Guidelines

GENERAL CONDITIONS

•    All cancellations must be notified in writing (by email or by fax) to C-IN and cannot be done online or over the phone.
•    Requests for refunds made after 30 October 2019 will not be considered.
•    For any change of name a fee of 30 EUR will be charged.
•    All registrations received by 4 September 2019 will be included in the list of participants.


GROUP REGISTRATIONS

Group registrations cannot be processed online under one email address identification; each participant needs to have his/her own profile set up with unique email address.
When registering more than ten persons under one company identity/invoice, please contact the Secretariat to determine the preferred invoicing setting.

I am familiar with all completed parts of this form, and I declare that all information are accurate and truthful and are provided voluntarily.


STATEMENT BY ADMINISTRATOR

Data administrator declares that they will collect personal data to the extent necessary to accomplish the intended purpose and may be processed only in accordance with the purpose for which they were collected. Employees of the administrator or other individuals who process personal data under contract with the administrator and other persons are obliged to maintain the confidentiality of personal data, even after termination of employment or work.
RESPONSIBILITY
The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the event be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
