50th Annual ESDR Meeting 2021 - FAQs

When has the 50th Annual ESDR Meeting been rescheduled to?

The new dates are Wednesday 22 September to Saturday 25 September 2021. This meeting will still be known as the “50th Annual ESDR Meeting”, even though we skipped a year through postponement.

 

What is the meeting format - physical, hybrid or virtual?

We have taken the decision to go 100% virtual for 2021.

 

Will the meeting program change?

No. We are contacting all speakers, sister societies and sponsors and aim to maintain the same program as advertised previously. To better suit the virtual format, we are trying to make the program more compact.

 

Are registration fees lower due to the virtual format?

Yes. Even though we plan to offer delegates the same high-quality educational experience as usual, we have reduced registration fees for our 2021 event. 

 

Can I register for part of the meeting only?

No - the rates offered give you access to the entire meeting content that will be available to you during and after the meeting on-demand.

What is the plan for 2022?

We have blocked the congress centre in Amsterdam from 28 September to 1 October 2022 for the next 51st Annual ESDR Meeting 2022. We are determined to see you all in person once it is safe.

Can our company get a full refund if they decide not to sponsor the rescheduled meeting?

No. In this case our vendor cancellation policy will apply. Deadline and partial refund policy available on the website.

 

Can my organisation cancel its booking altogether?

Yes. The annual meeting terms and conditions cancellation policy will apply.

Any cancellation by the exhibitor / sponsor must be made in writing to the ESDR via email to office@esdr.org. No cancellation by phone will be accepted.

 

Will my organisation’s sponsorship / exhibition booking be automatically transferred to the new date?

In line with the booking terms and conditions – where we can provide a new date, your booking will be automatically transferred over in its entirety and shall be binding on all parties.

However, for the 50th Annual ESDR Meeting, refunds will be available to sponsors / exhibitors who are unable to attend the rescheduled meeting date. Refunds will not be processed automatically, and requests should be sent to the ESDR office via email to office@esdr.org

Can my organisation keep the 50th Annual ESDR Meeting selected sponsored items at the rescheduled meeting if my organisation has not yet fully confirmed?

No. In case you have not yet fully confirmed your support (-ie no signed agreement or Order Form duly filled) you must re-apply.  The first-come first-served rule will be applied. Please contact ESDR Corporate Relations Manager, Caroline Blondel Baldassarre, caroline@esdr.org

 

Are there other sponsorship opportunities available at the rescheduled meeting?

Can I upgrade my level of support for the rescheduled meeting in 2021?

Will the costs of sponsor / exhibitor company staff’s pre-arranged travel and accommodation be reimbursed?

No. The ESDR will not reimburse pre-arranged travel and accommodation costs.  In the event of postponement or cancellation of the exhibition for any reason not within the control of the organiser, the organiser shall not be liable to the exhibitor in respect of any actions, claims, costs or expenses including claims for consequential losses.

What if I am unable to make the new date?

We understand the complexities of the current situation and how busy our speakers are. We will facilitate as many needs as possible and will be in be touch with you about how we can manage changes.

 

Can I make a claim for the refund of my travel and accommodation costs?

We would ask that you first contact your travel provider to confirm whether a refund or transfer of ticket is available. If this is not possible, we will reimburse invited speaker travel costs up to the amount stated in our original invitation.

I have already submitted my abstract. Do I need to resubmit this?

Yes. Abstract submission has reopened. Please see the Abstracts menu of this site.

 

Will my abstract still be accepted to present on rescheduled meeting dates?

No. You will need to resubmit your abstract.

 

Will my new abstract be published in the 2021 JID supplement?

Yes, if accepted. We are planning to publish in the JID supplement as usual.

If selected for a talk, what happens?
Authors will be asked to pre-record their talks and be present during live Q & A  sessions.
